Privacy notice

What we collect

• Your request: your email address, requested place, reason for visiting, description, and any preferred date and timing you provide. We also store a request identifier and submission time.
• How you found us: campaign labels in the page address and the referring page address, when your browser supplies them. These are saved with your request.
• Correspondence: information you choose to include when emailing us or replying to an enquiry.
• Technical information: our hosting and email providers process information such as IP addresses, browser details and delivery or security logs to operate their services. Our request database does not include a separate IP-address field.

Please do not include passwords, payment details, medical information or private information about other people. A general description of the place and experience is enough.

Why we use it

We use your information to respond to you, assess whether your request can be arranged, understand demand for locations and experiences, compare enquiry sources, and protect the service from misuse.

Providing information is voluntary. The form needs an email address, place, reason and description so we can assess and respond to a request; without these, we cannot process it through the form. You can leave the preferred date blank.

The contact checkbox relates only to your enquiry. It does not subscribe you to promotional emails. We do not sell your personal information.

Who handles your information

Hedy Ltd uses Cloudflare to host and protect the website and store form requests, and Purelymail for email correspondence. Our public contact address delivers messages into Hedy Ltd’s business inbox. These providers process information as needed to deliver their services.

To explore availability, we may discuss the requested location, activity and timing with a potential local human avatar. We will ask before sharing your contact details or personal request narrative with them. We may also disclose information where required or permitted by law, for example to address serious misuse.

We operate from New Zealand. Our service providers may process or store information overseas; we do not promise that it stays in New Zealand. Before arranging a session involving further personal-information sharing, we will explain who needs the information and the relevant arrangements.

Website services and tracking

Meta Pixel is not enabled on this version of the site. We do not use the request form to send your enquiry details to Meta or to subscribe you to an advertising audience. Campaign labels are stored with submitted requests to help us understand which links brought enquiries.

Cloudflare also adds a Web Analytics script to the live website. It reports website visits and page-performance measurements so we can understand usage and loading speed. This is separate from the campaign labels saved with enquiries. Read about Cloudflare Web Analytics and its data collection.

The website loads fonts from Google Fonts, so your browser connects to Google to display them. Cloudflare provides website delivery and security and may use technical logs or essential security cookies. We will update this notice and provide appropriate choices before introducing optional advertising tracking.

Keeping information

We retain personal information only for as long as needed to assess and respond to your enquiry, arrange any agreed service, or meet a legal obligation or resolve a dispute. When it is no longer needed for those purposes, it should be deleted or made non-identifiable. Provider backups may take longer to expire.

If you no longer want us to pursue your request, email us. You can also ask us to delete information we no longer need to retain.

Your choices and rights

You can ask to access or correct personal information Hedy Ltd holds about you. Contact hello@remotelypresent.com with “Privacy” in the subject and describe your request. We may need to verify your identity before providing information.

You can ask us to stop contacting you about an enquiry. If you have a privacy concern, please contact us first so we can try to resolve it. You can also contact the New Zealand Office of the Privacy Commissioner. Other rights may apply under the laws of your country.

Future live sessions

This request form does not access your camera or microphone or make a recording. Before a live session is arranged, we will explain any additional service providers, information sharing, recording options and retention arrangements. This notice is not consent to record you.
